How to share pages and collaborate on Notion
Quick Answer

Navigate to the page you want to share
Open your Notion workspace and locate the page you want to share with others. Click on the page title in your sidebar or search for it using Ctrl+K (Windows) or Cmd+K (Mac) to open the quick find menu.
Tip
Make sure your page content is ready for sharing before inviting collaborators to avoid confusion.

Click the Share button
In the top-right corner of your page, click the Share button. This will open the sharing dialog where you can manage all access permissions and collaboration settings for this specific page.

Add collaborators by email
In the sharing dialog, type the email addresses of people you want to collaborate with in the Invite people field. You can add multiple emails separated by commas or press Enter after each email to add them individually.
Tip
Collaborators will receive an email invitation with a link to join your page.

Set permission levels for each collaborator
Next to each collaborator's email, click the dropdown menu to set their permission level:
- Full access - Can edit, comment, and share the page
- Can edit - Can make changes and add comments
- Can comment - Can only add comments, not edit content
- Can view - Read-only access
Tip
Start with restrictive permissions and upgrade access as needed to maintain content security.

Configure link sharing settings
Click Share to web to generate a public link. Toggle Allow editing on or off depending on whether you want link recipients to edit the page. You can also set Allow comments and Allow duplicate as template options as needed.
Tip
Public links can be accessed by anyone with the URL, so use this feature carefully for sensitive content.

Set up workspace-wide collaboration
To add collaborators to your entire workspace, click Settings & members in your sidebar, then Members. Click Invite members and enter email addresses. Set workspace permissions: Full member, Guest, or custom role permissions.
Tip
Workspace members automatically have access to shared pages based on their role permissions.

Monitor and manage collaboration
Return to your shared page and click Share to view all current collaborators. You can change permissions, remove access, or add new collaborators at any time. Use Page history in the three-dot menu to track changes made by different team members.
Tip
Regularly review page access and remove collaborators who no longer need access to maintain security.
Troubleshooting
Collaborators can't see the shared page
Check that collaborators have accepted their email invitation and have the correct permissions. Verify the page isn't nested under a private parent page that restricts access.
Someone can't edit despite having edit permissions
Ensure the collaborator is logged into the correct Notion account that received the invitation. Check if the page has Lock page enabled in the three-dot menu, which prevents editing.
Public link sharing isn't working
Verify that Share to web is enabled and the link has been copied correctly. Check your workspace settings to ensure public sharing is allowed by your workspace admin.
Too many notification emails from collaborations
Go to Settings & members > My notifications and adjust your notification preferences. You can disable notifications for comments, edits, or mentions as needed.
